Modular design with PARTS-PUBLISHER

Authoring Environment

The Authoring Environment bundles spare parts, service and product data (parts lists, exploded views, photos, 3D models, schematics, prices, documentation such as manuals, etc.) from various data sources (ERP, PLM, CMS, DMS, CAD system, etc.). All data and documents can be integrated in the database directly via interfaces or entered manually as required. The Authoring Environment thus functions as an extended Workbench.

Enhancements

The software can be adapted exactly to your needs and requirements thanks to the option of flexibly selecting and combining enhancement packages. The modules enrich the functional scope of your interactive spare parts catalogue software.

Publications

With the Publication channels you are able to automatically compile catalogues for the Internet, mobile devices, CD/DVD, print, 2D, 3D in single-source processes (all data from one source). The output of the data for print, CD or Internet catalogues can be triggered "on demand" with a mouse click. Thanks to comprehensive configuration options (without programming), the production of individual catalogues or information systems is possible (machine- or order-specific, etc.).

Integration in the IT landscape through to all-inclusive package

The reality of spare parts catalogue creation often looks like this: The documentation is fragmented into different departments and created and managed using different and possibly outdated systems.

The multiple processing of the same data for different application areas (for example product documentation for customers, service documentation for in-house customer service, etc.) and for different media (Internet, mobile devices, CD/DVD, print, 2D, 3D) is on the agenda.

Docware offers modern, integrated solutions based on PARTS-PUBLISHER to companies who want to avoid standalone solutions and duplicate work in the creation of spare parts catalogues and the processing of spare parts orders and instead strive for consistent processes and data usage.

Standard interfaces of PARTS-PUBLISHER enable the integration of all common ERP systems, for e.g.

  • ABAS
  • Bäurer B2
  • IBM
  • ID Edwards
  • Infor (Baan)
  • SAP ERP, SAP R/3, SAP R/2
  • MS Dynamics NAV (Navision), MS Dynamics AX (Axapta)
  • Oracle
  • proALPHA
  • PSIpenta
  • etc.

SAP-integrated solutions can be realised both for catalogue creation and order processing.

Catalogue creation (integration of PARTS-PUBLISHER and SAP ERP or PLM)

The solutions range from semi-automated solutions with manual interventions through to fully automated solutions with which spare parts catalogues are produced at the touch of a button or also automatically from the SAP ERP or PLM system. The editorial of the catalogues can be effected in SAP or PARTS-PUBLISHER, depending on requirements. The following scenarios are possible:

  • Catalogue editorial in SAP ERP
  • Catalogue editorial in PARTS-PUBLISHER

In all cases the data, structures and documents in SAP are used directly for the automated catalogue creation with PARTS-PUBLISHER without duplicate data retention.

PARTS-PUBLISHER is SAP-certified and has a SAP-certified OCI interface (Open Catalogue Interface), which simplifies the connection to E-Business processes. Thanks to the existing standard interfaces, integration in SAP ERP, SAP PLM, SAP CRM, SAP SRM and SAP E-Commerce is relatively simple.

SAP-certified OCI interface (Open Catalogue Interface):

Simple connection to E-Business, E-Procure and E-Service (remote service) systems (for e.g. SAP E-Commerce, Intershop, ClickCommerce, etc.)

SAP-certified SRM interface (Supplier Relationship Management):

Simple connection to SAP SRM systems to simplify procurement processes for suppliers and customers

CoCreate MM Connector:

Standard interface which integrates CoCreate Model Manager with PARTS-PUBLISHER. This interface enables the direct creation of spare parts catalogues from Cocreate Model Manager.

Order processing (integration of PARTS-PUBLISHER and SAP E-Commerce for SAP ERP)

The solutions range from semi-automated solutions with manual interventions through to fully automated solutions. With the latter spare parts orders, which have been initiated online via the PARTS-PUBLISHER catalogue integrated in SAP E-Commerce, are transferred automatically to SAP ERP and further processed there. Order processing including the creation of order confirmation, delivery note and invoice is also automated in ERP.

Standard interfaces of PARTS-PUBLISHER enable the integration of all common PLM, PDM and/or DMS, CMS systems, for e.g.

PLM/PDM:

  • Agile PLM (formerly Axalant)
  • Keytech PLM
  • Model Manager
  • Teamcenter
  • Windchill PDMLink
  • etc.

DMS/CMS:

  • Schema ST4
  • TIM-RS
  • GDS Docuglobe
  • EMC Documentum
  • etc.

We have implemented several solutions with PLM/PDM integration. If you are interested we will be pleased to put you in touch with a contact partner from our reference customers.

Integrated schematics (electrical, pneumatic, hydraulic plans)

PARTS-PUBLISHER enables the comprehensive integration of electrical and other schematics in the spare parts catalogue. With the integration of schematics the PARTS-PUBLISHER spare parts catalogue becomes an "all-round information and ordering system" for your service technicians. All information required for efficient navigation in the electrical documentation is used for the direct data transfer from the ECAD system to the catalogue system without any intermediate formats and logic losses. Effective troubleshooting, signal tracking, spare parts research and ordering are conveniently and professionally supported in all areas - mechanics, electrics, pneumatics and hydraulics.

With integrated electrical documentation the PARTS-PUBLISHER catalogue provides support with:

  • Fully automated generation of catalogues from electrical projects
  • Standard interfaces for ECAD systems (EPLAN, ELCAD, E3.series), others on request
  • Linked mechanical and electrical equipment
  • Effective troubleshooting
  • Signal tracking
  • Ordering of mechanical and electrical spare parts via a standard system (PARTS-PUBLISHER catalogues have a common Shopping Cart for mechanical and electrical equipment)
  • Search using BMK, name, etc.; Navigation via drawing directory or BMK

For the fully automated transfer of electrical projects from the ECAD system to the PARTS-PUBLISHER catalogue system, standard interfaces were developed with the ECAD manufacturers, which work as a plug-in in the respective ECAD system.

Connection to CAD systems

Integration of 3D data in the spare parts catalogue

For 3D diagrams in PARTS-PUBLISHER catalogues, 3D-CAD models from all common CAD systems and neutral formats can be used. Where 3D data conventionally had to be converted to perspective illustrations in a complex process, now they can be imported to the Author environment of PARTS-PUBLISHER in an automated process and used within a few minutes for the display and interactive use in the catalogue. Docware has various 3D viewers which can be easily integrated in PARTS-PUBLISHER. The display and interactive use of different 3D formats in the catalogue is thus possible. The 3D technology that is suitable for the creation of your spare parts catalogues depends on which CAD system(s) you use and what individual requirements you have. The transfer of the 3D data from the CAD system to the PARTS-PUBLISHER catalogue application can be effected manually or automatically via the interface.

Depending on the technology used, converters are available for converting your 3D CAD data to one of the aforementioned formats. These converters run as a plug-in at the CAD workstation or also as a server solution. The 3D data can be edited if desired before the import to the spare parts catalogue software. If 2D drawings are required, then they can be derived directly from the 3D models. The creation of animations (for e.g. repair instructions, installation instructions, etc.) and their integration in the spare parts catalogue is also possible.

In-house development vs. standard software

Why a standard software solution?

An increasing turnover of spare parts, ensuring availability of parts (equipment/components), the supply of customised product information for individual products and other aftersales activities are omnipresent challenges and complex requirements.

  • Real-time access to detailed and up-to-date product information or up-to-date customer-specific data.
  • Pooling data from all departments and publishing data in other company applications.
  • Supplying product information to customers and suppliers via the internal company structures.
  • Publishing spare parts data so that during troubleshooting or in the repair or maintenance process the necessary parts are ordered immediately and can also be unequivocally identified. Ideally also automate the ordering process for this purpose.
  • Integrate product information in other company systems.

Applications which satisfy these requirements are generally highly developed and specialised systems, which combine software technology for organisation, linking, search functions, navigation and presentation of product content and export it to different devices. Be it web browsers, wireless devices, CD or paper. There are generally now two options: purchase a standard software solution or the in-house development of an internal solution.

Comparison In-house development vs. standard software

Show advantages of standard solutions - find out more

 Advantages of standard solutions

  • Experience: The provider has experience of working with and recognising users' needs, the development of features and functions which solve your problems specifically. The software was successfully tested and is constantly being further developed to significantly increase productivity.
  • Time savings: Depending to what extent the defined requirements of the software solution are covered, the system can be used straight away or after a short time.
  • Lower costs: If the standard software fulfils many of the required functions and also meets the quality requirements, the costs for the introduction and operation are generally lower than with an in-house development.
  • Pilot costs are predefined in the contract, i.e. can be planned. Recurring costs are foreseeable, can be planned and are transparent. Maintenance or upgrade fees are foreseeable, owing to contractual arrangements.
  • Quality: Because standard products are used by different users, many errors have already been discovered and eliminated. The quality is therefore higher right from the start with standard software than with in-house developments.
  • Regular improvements: Each individual benefits from the creativity and ideas of everyone with standard solutions. The development costs of new functions are also distributed among many customers.
  • Updates and upgrades: Regular updates incl. major releases guarantee that the standard solution is always up-to-date and continuously further developed in line with market requirements. They can be implemented with no data loss and can be exported and reimported. Competitive advantage: With the right integration of a standard software, the use of an innovative software solution can be a competitive advantage.
Show disadvantages of in-house developments - find out more

 Disadvantages of in-house developments

  • Development costs: Depending on the complexity of the software the development costs may be very high. In addition, it may be very difficult to assess the development costs accurately at the start of a project as many problems only occur during the development process and cannot be planned. Investment costs = Introduce and implement
  • Recurring costs = Maintain and improve the solution: Less predictable, due to the costs for human resources and the hidden costs in pilot projects
  • Service costs in the company beyond the IT department: Cannot be planned: Documentation of project, training for employees and customer support
  • Time requirement: It is not only the costs that are very difficult to estimate at the start, but also the time requirement. Therefore during the planning very generous buffer times should generally be planned. New project management methods such as SCRUM may also help. Otherwise, an increasing development effort may also very quickly mean a time delay.
  • Quality issues: The development of error-free software is not possible. And the more complex the software is the longer it may take until the system has attained the necessary stability in the pilot phase.
  • Infrastructure: Adding a new module to existing applications generally appears easier than it sounds. The process is extremely complex, and may quickly impact functions of other modules.
  • Dependence: What is an advantage on the one hand is a disadvantage on the other. With an in-house development one becomes dependent on the employees or companies who have developed the system. Even with extensive software documentation a new employee or a new company must learn the ways of thinking of the older developers.
  • Technology change: The technology change in the IT industry is very quick. As a result, the software or technology used can very quickly become obsolete. And the older it is the more difficult it is to find developers who are able to deal with the maintenance.
  • Up-to-dateness and further development: In general, it does not just stop with the introduction of a new module. This process is a niche market which must be satisfied for process optimisation and success. Writing and publishing and constant updating of user documentation; creating training courses and training materials; offering customer support (setup a hotline, FAQ page on homepage); also offer, introduce and integrate processes outside the company

Updating and updates for parts catalogues, software and offline media

Spare parts catalogue updating with minimum effort and costs - Find out more

Spare parts catalogue updates with minimum effort and costs

The updating of spare parts catalogues traditionally means spending a great deal of money - both for the new creation and also for the redistribution. With PARTS-PUBLISHER the costs for catalogue updates can be reduced to a minimum. Catalogues can be generated with updated data with just a few mouse clicks. Solutions with a connection to the data sources promise the highest savings potential. Here only the new import of data to the catalogue database is triggered and an automatic data comparison is performed. Data changes in the leading system become effective in the catalogue database and in all catalogue media. Many companies who produce spare parts catalogues in the conventional manner only seldom provide catalogue updates due to the immense costs. This cost pressure is eliminated for companies who use PARTS-PUBLISHER. Needs-oriented updating cycles are possible thanks to the incredibly low cost for catalogue updates

Updating offline catalogues - Find out more

Offline catalogues can be updated without a new production

With the PARTS-PUBLISHER enhancement package "Updates", catalogue CDs already in circulation can be updated via the Internet. Amendment files are made available on a server, which authorised catalogue users can download via the Internet. The updates are automatically integrated in the CD catalogues. The distribution of new CDs becomes superfluous. Furthermore, the configuration of the offline catalogues can also be updated in this way. Your customer thus always has the up-to-date catalogue in the current configuration, also with offline media. You save costs for the new production and shipping of the catalogues for offline media.

Introduction / Implementation

PARTS-PUBLISHER out of the box:

Many of our customers use PARTS-PUBLISHER "out of the box", without customer-specific adaptations and low setup costs. The system setup and training are generally combined in such cases. This means one of our application advisors is generally on-site with the customer in order to configure the system according to the customer's requirements and train the employees on the operation and independent configuration of the catalogue application.

PARTS-PUBLISHER projects, customising:

We make a distinction between four phases of the implementation concept for PARTS-PUBLISHER projects which include customising and/or integration in other processes or systems. You can also rely on us after the introduction.

Project phases

  • Analysis: Our application advisors analyse the ACTUAL situation with you and advise you in relation to your needs and requirements. The key processes, the infrastructure and your data are analysed. Together with you we identify which work areas are affected and the know-how of your users. The next step is a kick-off meeting with an introduction of all project members and the compilation of a concept in which the next steps are planned precisely.
  • Definition and conception: Based on the results of the analysis, the procedure is defined, a system concept is developed, and the data model and interfaces are defined. In the process definition the scope of the services is defined and a realisation timeline is set. A training and support concept geared towards you is prepared.
  • Realisation: The realisation of the project starts with the installation of the software and implementation of the defined processes. Then there is the legacy data transfer, development of the infrastructure, setup of the ERP, PLM, CAD integration and customising according to the definition. The future users are trained accordingly for successful usage.
  • Introduction or roll-out phase: Inclusion of production with the pilot group; on-site support during the startup phase; additional training; project review; roll-out in the individual areas.
  • Aftersales service: The system is improved in the aftersales phase specifically for you. New functions are implemented and programme errors are corrected by means of updates and upgrades. We provide support on our hotline or through our application advisors regarding enhancements or process changes, and are also pleased to advise you on-site. This way you get closer and closer to the perfect individual service solution.
